Refund & Cancellation Policy

This policy explains appointment cancellations, rescheduling requests, service credits, refunds, chargebacks and related procedures applicable to all Aarogyama services.
Policy Overview
Aarogyama allocates dedicated professional time, therapist availability and operational resources for every confirmed booking. This policy establishes the rules governing cancellations, rescheduling requests, refunds, credits, payment disputes and chargebacks.
1. General Policy
Aarogyama reserves dedicated professional time, therapist availability, administrative resources and scheduling capacity for every confirmed appointment. By booking any service, users acknowledge that counselling and wellness services involve allocation of professional resources in advance. Refunds are not automatic, guaranteed, or a matter of right and shall be granted solely at Aarogyama's discretion in accordance with this Policy.
2. Scope of Policy
This Policy applies to all paid services offered through Aarogyama including online counselling, relationship counselling, child counselling, wellness coaching, therapy consultations, workshops, assessments, programs, subscriptions, packages and any other professional services offered through the Platform.
3. User Cancellation Requests
Cancellation or rescheduling requests submitted at least 24 hours before the scheduled session may be accommodated through rescheduling or issuance of service credits. Cash refunds are generally not provided unless specifically approved by Aarogyama.
4. Late Cancellation Policy
Any cancellation, modification or rescheduling request received within 24 hours of the scheduled appointment shall be treated as a late cancellation. Late cancellations are non-refundable and the booked session shall be deemed utilized.
5. No-Show Policy
If a user fails to attend a scheduled session, is unavailable at the appointment time, repeatedly disconnects, or fails to join within fifteen (15) minutes of the scheduled start time, the appointment shall be treated as a No-Show. No-Show appointments are non-refundable and non-transferable.
6. Late Arrival
Sessions will ordinarily conclude at the originally scheduled end time regardless of delayed arrival. Therapists are not obligated to extend appointments. Arrivals exceeding fifteen (15) minutes may result in session cancellation, shortened consultation time, or completion marking without refund.
7. Service Delivery Confirmation
A session shall be deemed delivered where the therapist is available at the scheduled time, where the user voluntarily terminates the session, where technical issues arise on the user's side, or where the user declines to continue participation. Once a session has commenced, it shall generally be considered utilized and non-refundable.
8. Cancellation by Aarogyama
In rare circumstances involving emergencies, therapist illness, technical failures, internet disruptions, safety concerns or unforeseen scheduling conflicts, Aarogyama may reschedule the appointment, allocate another suitable therapist, provide service credits or issue a proportional refund at its sole discretion.
9. Refund Eligibility
Refunds shall generally only be considered in cases involving duplicate payments, accidental overcharges, successful payment without confirmed booking, technical failures directly attributable to Aarogyama, or cancellation initiated by Aarogyama where alternative arrangements are not reasonably possible.
10. Non-Refundable Circumstances
Refund requests based on dissatisfaction with counselling outcomes, therapist style, therapeutic compatibility, personal expectations, subjective experience, change of mind, discontinuation of therapy, completed sessions, partially attended sessions, missed appointments, workshops, webinars, digital products, downloadable materials, assessments already accessed, activated subscriptions, promotional services and commenced packages shall generally not qualify for refunds.
11. Packages & Subscription Plans
Package plans, bundled sessions and subscription services are non-transferable and generally non-refundable once activated. Unused sessions may remain valid for a limited period, be converted to credits or expire according to applicable package terms.
12. Refund Request Procedure
Refund requests must be submitted by email to help.aayogyama@gmail.com together with booking details, payment information and supporting documentation where applicable. Submission of a refund request does not guarantee approval.
13. Refund Processing Timeline
Approved refunds are generally processed within 7–15 business days. Processing timelines may vary depending upon banking institutions, payment gateways, UPI systems, card issuers and other third-party financial intermediaries. Aarogyama shall not be responsible for delays caused by such entities.
14. Fraud, Abuse & Chargebacks
Aarogyama reserves the right to deny refunds, suspend accounts, restrict access, refuse future bookings and pursue legal remedies in cases involving fraudulent claims, repeated refund abuse, chargeback misuse, harassment, abusive conduct or violations of Platform policies. Where a chargeback is initiated after services have been delivered, Aarogyama reserves the right to submit booking records, attendance logs, communications and payment records to contest such claims.
15. Policy Modifications
Aarogyama reserves the right to amend, revise or update this Policy at any time. Updated versions become effective immediately upon publication on the Platform. Continued use of services constitutes acceptance of the revised Policy.
16. Governing Law & Contact Information
