Refund & Cancellation Policy

Please read these terms carefully before using Aarogyama Wellness Clinic services, website, or booking consultations.

Refund & Cancellation Policy Last Updated: 24 May 2026 This Refund & Cancellation Policy (“Policy”) governs cancellations, rescheduling, refunds, and related matters concerning the services provided through Aarogyama (“Platform”). By booking, purchasing, scheduling, or using any service through the Platform, you agree to be bound by this Policy. 1. General Policy At Aarogyama, appointment slots are exclusively reserved for each client and dedicated professional time is allocated in advance by the Therapist or Wellness Professional. As counselling and wellness services involve reservation of professional time, preparation, scheduling, and operational allocation, refunds and cancellations are subject to the conditions set out below. Refunds are not automatic and shall be processed solely at the discretion of Aarogyama in accordance with this Policy. 2. Applicability This Policy applies to: online counselling sessions, offline counselling sessions, therapy consultations, wellness coaching, workshops, programs, assessments, subscriptions, packages, and all other paid services offered through the Platform. 3. Cancellation by User A. Cancellation More Than 24 Hours Before Session Users may cancel or reschedule a booked session without penalty if the request is made at least twenty-four (24) hours prior to the scheduled appointment time. In such cases, Aarogyama may: reschedule the session; or issue a session credit valid for future use, at its sole discretion. Cash refunds may not be provided unless specifically approved by Aarogyama. B. Cancellation Within 24 Hours Any cancellation, rescheduling request, or modification made within twenty-four (24) hours of the scheduled appointment shall be treated as a late cancellation. Late cancellations are non-refundable. The session shall be considered utilized and the applicable session fee shall be forfeited. C. No-Show Policy If a User: fails to attend a scheduled session, is unavailable at the scheduled time, disconnects repeatedly, or does not join the session within fifteen (15) minutes of the scheduled start time, the session shall be treated as a “No-Show”. No-Shows are non-refundable and non-transferable. 4. Late Arrival If a User joins late: the session may still end at the originally scheduled time; the Therapist shall not be obligated to extend the session duration. If a User is late by more than fifteen (15) minutes, the Therapist may: cancel the session, shorten the session, or mark the appointment as completed, without any obligation of refund or rescheduling. 5. Cancellation by Aarogyama or Therapist In rare situations, Aarogyama or the assigned Therapist may cancel or reschedule a session due to: emergencies, illness, technical failures, internet disruptions, unforeseen circumstances, safety concerns, or scheduling conflicts. In such cases, Aarogyama may, at its sole discretion: reschedule the session, assign another suitable Therapist, provide session credit, or process a proportional refund where applicable. 6. Refund Eligibility Refunds shall only be considered under the following circumstances: duplicate payment; accidental overcharge; payment deducted but booking not confirmed; technical failure directly attributable to Aarogyama preventing service delivery; cancellation initiated solely by Aarogyama where alternate arrangements are not possible. Refund requests based on: dissatisfaction with therapeutic outcomes, personal expectations, change of mind, lack of perceived compatibility, subjective experience, or discontinuation of therapy shall generally not qualify for refunds. As counselling and wellness outcomes vary between individuals, Aarogyama does not guarantee specific emotional, psychological, behavioural, or wellness results. 7. Non-Refundable Services The following are strictly non-refundable unless otherwise decided by Aarogyama: completed sessions; partially attended sessions; missed appointments; late cancellations; workshops; webinars; digital products; downloadable materials; assessments already accessed; subscriptions already activated; promotional or discounted services; package sessions already commenced. 8. Packages & Subscription Plans Where Users purchase: bundled sessions, subscription plans, wellness programs, or packages, refunds shall not be issued for partially utilized packages. Unused portions may, at Aarogyama’s sole discretion: remain valid for a limited duration, be converted to credits, or lapse upon expiry. Packages and subscriptions are non-transferable unless expressly approved by Aarogyama. 9. Refund Request Procedure All refund requests must be submitted by email to: Email: help.aayogyama@gmail.com The email must include: full name, registered contact details, booking reference, payment details, and reason for refund request. Aarogyama reserves the right to request supporting documents or additional information before processing any claim. Submission of a refund request does not guarantee approval. 10. Refund Processing Timeline If approved, refunds are generally processed within: 7 to 15 business days, depending upon: banking timelines, payment gateway processing, and financial institution procedures. Aarogyama shall not be responsible for delays caused by: banks, payment gateways, card issuers, UPI systems, or third-party financial intermediaries. 11. Promotional Offers & Coupon Codes Any: coupon code, promotional offer, discount, referral benefit, cashback, or complimentary credit used during booking shall not be refundable, redeemable for cash, or reusable after cancellation unless expressly permitted by Aarogyama. 12. Abuse & Misuse Aarogyama reserves the right to: deny refunds, suspend accounts, refuse future bookings, or initiate legal action in cases involving: fraudulent claims, repeated refund abuse, chargeback misuse, harassment, abusive conduct, or violation of Platform policies. 13. Chargebacks Users are encouraged to contact Aarogyama before initiating any payment dispute or chargeback with banks or payment providers. Fraudulent or unjustified chargebacks may result in: suspension of access, recovery proceedings, reporting to financial institutions, and legal action where applicable. 14. Modification of Policy Aarogyama reserves the right to modify, amend, or update this Policy at any time without prior notice. Updated versions shall become effective immediately upon publication on the Platform. Continued use of the Platform after changes constitutes acceptance of the revised Policy. 15. Governing Law & Jurisdiction This Policy shall be governed by and construed in accordance with the laws of India. Any disputes arising in relation to this Policy shall be subject to the exclusive jurisdiction of the courts located in Kolkata, West Bengal, India. 16.
